Privacy Statement

This Privacy Statement explains how personal information is collected, used, stored, and protected in connection with the activities of the Number Administration Deed (NAD).

The NAD is an industry-based mechanism responsible for the centralised and independent administration of New Zealand’s telecommunications numbering resources, including the Number Register and the Telecommunications Numbering Plan. The NAD handles personal information in accordance with the Privacy Act 2020 (New Zealand) and the Information Privacy Principles. 

What personal information the NAD collects

The NAD collects personal information only where it is necessary to carry out its numbering administration functions.

Depending on the circumstances, this may include:

  • names and work‑related contact details;
  • organisation and role details relevant to numbering administration;
  • information provided through enquiries, applications, or notifications;
  • administrative and technical information related to the management of numbering resources; and
  • limited website usage information, such as IP addresses and browser information.

The NAD does not collect personal information that is unrelated to its functions or on an unnecessary or speculative basis. 

How personal information is collected

Personal information may be collected:

  • directly from individuals when information is provided to the NAD;
  • from NAD Parties or other authorised participants, where this is necessary for numbering administration; and
  • through standard website technologies used to operate and secure the NAD website.

Where information is collected from someone else, rather than directly from you, the NAD will take reasonable steps to let you know, unless a lawful exception applies. 

Where required, the NAD will notify you:

  • that we have collected your personal information
  • what information we have collected
  • why we collected it
  • who it may be shared with
  • how you can contact us
  • your right to access and correct your information.
How personal information is used

The NAD uses personal information only for purposes connected with the administration of New Zealand’s numbering resources, including to:

  • manage and maintain the Number Register;
  • administer the allocation and use of numbering resources;
  • support NAD governance and operational processes;
  • communicate with industry participants and authorised users; and
  • meet legal, regulatory, and accountability requirements.

Personal information is not used for marketing or unrelated purposes. 

Disclosure of personal information

Personal information may be disclosed where necessary and lawful:

  • to NAD Parties or authorised participants, where required for numbering administration;
  • to service providers supporting NAD systems or operations;
  • to government agencies or regulators, where required or permitted by law; or
  • in other circumstances allowed under the Privacy Act 2020.

The NAD does not sell personal information and does not disclose personal information outside New Zealand unless appropriate protections are in place. 

Storage and security

The NAD takes reasonable steps to keep personal information secure and protect against:

  • loss or misuse;
  • unauthorised access or disclosure; and
  • other security risks.

Personal information is kept only for as long as required to carry out NAD functions or meet legal and governance requirements and is disposed of securely when no longer needed. 

Some personal information may be stored or processed outside New Zealand, for example through cloud-based systems. Where this occurs, we take reasonable steps to ensure appropriate privacy safeguards are in place.

Access and correction

Under the Privacy Act 2020, individuals have the right to:

  • request access to personal information held about them; and
  • request correction of that information if it is inaccurate, incomplete, or misleading.

Requests will be handled in accordance with the Privacy Act’s requirements and timeframes. 

Cookies and website use

The NAD website uses cookies and similar technologies to:

  • ensure the website functions properly;
  • maintain security; and
  • understand how the website is used.

Privacy breaches

If a privacy breach occurs that has caused, or is likely to cause, serious harm, the NAD will notify affected individuals and the Office of the Privacy Commissioner where required by law. 

Changes to this statement

This Privacy Statement may be updated from time to time to reflect changes in law or NAD operations. The current version will always be available on the NAD website.
